Work File Annotations

What are Work File annotations?
Work File annotations are notations you create and associate with a Work File or with an individual patent or Derwent record in a Work File.

Work File annotations can be made as comments or attachments.

Who can create Work File annotations?
The ability to create comments and attach files to Work Files is dependent on your subscription level as well as several other factors. The chart below shows the different factors involved.

Note 1: Unlimited subscribers automatically have 1 MB free storage space. If your subscription level allows, additional storage can be purchased from your Subscription Information page in the My Account area. The cost is $25.00 a month for 50 MB. See About file storage for more information.

Note 2: For Unlimited level group/corporate users, your group/corporate administrator controls whether or not attachments are used in your group/corporation. The default is OFF (attachments not permitted). If you cannot attach files and need to, see your group/corporate administrator.

About file storage:
Unlimited individual subscribers and Unlimited group/corporate subscribers (whose attachment privileges have been activated) can store up to 1 MB of attachments free of charge. These eligible subscribers can purchase 50 MB of storage for $25.00 a month (automatic monthly billing).

This feature allows you to keep pertinent documents right with the Work Files they reference and, when used in conjunction with Shared Work Files, allows you to share those documents with co-workers involved in the same initiative.

Annotating a Work File:
Use the same steps whether you are the Work File owner or you are annotating a Work File that is owned by someone else and has been shared with you.

To annotate (with a comment or an attachment) a Work File, start on your Work File Administration page (shown following).

  1. In the Actions column, click the Annotate link for the Work File you want to annotate. The Work File Annotation page displays (shown following).

  1. On the Work File Annotation page, you can do the following:

    • Enter a comment in the New Comment field
    • Add an attachment in the Attachment field
    • Enter a comment and add an attachment
    • Specify whether your comments and attachments should be Private or Shared (default is Private)


  2. Click Add.
  3. The Work File Annotation page redisplays showing your annotations at the bottom of the page. A variety of sort and edit options are available. Example shown following:

What are Private and Shared annotations?

Private Annotations (comments and attachments) can only be made by the Work File owner and only the Work File owner can view the Private Annotations once they are made.

Shared Annotations can be viewed by anyone sharing a Work File. If you are not the Work File owner, your annotations are by default Shared.

How to annotate an individual patent in a Work File:
To annotate an individual patent or Derwent record in a Work File, start on your Work File Administration page (shown following).

  1. Under Patent Items or Derwent Items, click the link for the item number count for the Work File that contains the record for which you want to create an individual annotation. The Work File displays in a Result Set format (shown following).

  1. Click the Publication link for the patent you want to annotate. The associated Delphion Integrated View displays.

  1. At the top of the Integrated View, in the Tools area, click the Annotate link. The Annotate Work File page displays.
  2. On the Work File Annotation page, you can do the following:

    • Enter a comment in the New Comment field
    • Add an attachment in the Attachment field
    • Enter a comment and add an attachment
    • Specify whether your comments and attachments should be Private or Shared (default is Private)
    • Specify whether your comments and attachments are strictly Regarding this patent or General and apply to the whole Work File.
