What Tracking, Client References and Trails are: Tracking allows you to create and assign a unique identifier, a Client Reference, for activities conducted on Delphion. A trail is a list of all of the activities tracked against a single Client Reference during a Delphion session. Sessions can have multiple trails, although only one trail can be active at a time. Trail details can be used as search histories and from a trail you can rerun searches, link to viewed records or access downloaded PDFs. When details are tracked, they create a repeatable search history. [back to top] Where Client References appear: Client References appear on the Tracking Report you access from the Tracking page. Previously, Client References appeared on Order Forms and Statements the newest Tracking enhancements give you consolidated Tracking Reports instead. Client References and your trail details also appear on any consolidated reports your Account Administrator may create. Your Account Administrator is the only additional person who can review what you have tracked. [back to top] Can I use Tracking? If you are an end user in a group/corporate account, your ability to use Tracking is controlled by your Account Administrator. If your Account Administrator has enabled Tracking for your account, a Tracking Console will appear in the upper right of your screen when you log into Delphion. [back to top] What Tracking features can I use? If Tracking is on for your account, a Tracking Console will display in the upper right of every page on the site when you are logged in. The display on this console will tell you what Tracking functions are enabled and active:
If Tracking is mandatory for your account, when you log in you will immediately be taken to a Mandatory Tracking page that requires you to choose or create a Client Reference before proceeding. Because of this, you will never see a console that says "No Active Trail."
[back to top] Client References: A Client Reference is a unique identifier for tracking activities on Delphion. As part of a group/corporate account, your Account administrator defines the format for Client References in your company and determines user privileges for creating them. Client References can be configured to use from one to three tiers of hierarchy (Client, Project, Subproject). At a minimum your Account Administrator will have set up your account to use the Client level of hierarchy. If your organization is working on multiple projects for the same client, then you may be required to record activities against different Projects for a single client. If more detailed information is required, you may also be required to track activities on a Subproject (or task) basis for individual projects. Your Account Administrator may also require you to use a predefined format for Client References. If you are required to follow a specific format, that format will be shown on the Tracking page. Example of Tracking page when predefined Client Reference format not required: ![]() When you are required to use a predefined format, the Tracking page will show the format or pattern to use. All of the examples shown so far assume your Account Administrator has configured the account to use all three segments of the Client Reference (Client, Project and Subproject) and that you (and all end users) have the ability to create all three segments. The Account Administrator, however, could also choose to use only the Client segment or only the Client and Project segments. The Account Administrator can also choose which if any of the segments to let users assign themselves and which can be assigned only by an Administrator. A typical scenario would be to have only Account Administrators establish Clients leaving Projects and Subprojects to be assigned by the end users. As an end user, you will only be presented options in keeping with the decisions your Account Administrator has made regarding your account. The Tracking pages will not "allow" you to do something prohibited by your Account Administrator. [back to top] Accessing Tracking: Once you have logged in, you will see the Tracking Console in the upper right of your screen. ![]() Click the Select link or the Select CR button to access the Tracking page; then select or create a Client Reference and begin tracking. If Mandatory Tracking is turned on for your account, upon login you will be taken to the Mandatory Tracking screen where you must select (or create if allowed) a Client Reference before proceeding. ![]() [back to top] Tracking: Use the Tracking page to select an existing Client Reference or enter a new one click the Start New Trail button to begin tracking. ![]() Once you have started tracking, your activities will record against the active Client Reference.
Tracking activities & details: Your Account Administrator will configure your account to track some or all of these activities:
Your account will also be configured with Tracking Details either on or off. If Tracking Details is on, your actions create a trail that can be replicated. Examples of details are the search string executed, the publication number of the record viewed, or a link to the PDF that was downloaded. The following trail was recorded with details: ![]() When Tracking Details is off, only your general actions are recorded (e.g., searches, image views, Integrated View). [back to top] Creating repeatable search histories: If your account has been configured to track searches (as activities) and to track details on those activities, then you can create a repeatable search history. Your reports will show the search string, the number of records in your Result Set, the total number of records searched and the collections searched. There will be a button with each search detail that will allow you to rerun that search. ![]() From the activity details, you can also redisplay Integrated Views, recreate Snapshots, re-download images, etc.
[back to top] Tracking costs: Your account will be configured to show one of the following:
If No Transaction Costs are shown, the tracking trails and reports will show $0.00 for all activities. If Specified Transaction Costs are shown, your tracking trails and reports will show the amount your Account Administrator has designated as appropriate for that activity. A dollar amount can even be shown for the time you spend on the site independent of the activities you perform. [back to top] Stopping Tracking: Stop tracking by clicking the Stop Tracking button in the Tracking Console. Once tracking is stopped, the Tracking page displays and you will be able to view your last trail. An alternative way to end your trail is to log out completely. Simply leaving the Delphion site will not end your trail. Upon logout, the Log Out page will display your current (just completed) trail.
Tracking Reports: Access Tracking Reports from the Reports button in the upper right of the Tracking screen. ![]() The Tracking Reports page automatically displays the report for the default period which is the current month. Optionally, you can select another month or request a report covering a full quarter or the entire year. The body of the report shows the Date/Time, Client Reference and Client Charges for a Research Trail. Click the hyperlinked Date/Time entry for the trail you want to review in more detail.
