Get a Better View of Your Work Files

Viewing a large Work File just got easier. A recently added feature now allows you to choose to view up to 500 items per page from a Work Files Current Results page. You'll find the option to select "Items per page" at the bottom of each Work Files Current Results page.

Focus On: Data Extract File Formats

You may already know that Data Extract is a highly effective tool for extracting the biblio data of your choice from a set of patents to use in many popular applications. But did you know that Data Extract offers you the ability to extract data to five different file formats? Here's a brief overview of file format options and the subtle differences of each.

CSV: CSV stands for Comma Separated Values and is an industry-standard file format that lets you immediately open up the file in spreadsheet applications like Microsoft Excel. This is the default Data Extract file format. Each data field that you select to extract is represented as a single column. For example, Patent Number will be one column and Inventor will be another column. If there are multiple data items in a field (e.g. more than one inventor name), all occurrences of that data item will be placed within that one column.

CSV Field Codes: Another CSV format, but with this specific format option, each piece of extracted data is identified with its corresponding field code (e.g. PA=The Coca Cola Company).

CSV Multi-Fields: When multiple occurrences of a field exist, each occurrence is placed in a separate column within the spreadsheet. For example, if there are two inventors, the first inventor's name will be placed in one column and the second inventor's name in a second column. This is especially useful for importing data into a database application, where you may later want to isolate specific data elements of one type (e.g., all inventors). Also, each piece of data is identified with its corresponding field codes.

Tagged: This file format is frequently used in applications that require data to be imported with each field represented as a separate record in the file. One example is Endnote, a popular application used for capturing bibliographic information for research papers. Similar to a text file format, the tagged format places each extracted field as a line of text and is identified with its corresponding field code. If there are multiple occurrences of a field (e.g. more than one inventor name), all occurrences will be placed within one line of text.

Tagged Multi-Fields: This second tagged file format option is the same as the Tagged format; however, if there are multiple occurrences of a field (e.g. more than one inventor name), each occurrence of will be placed as a separate line of text.
